The roll-over process allows you to prepare for the new academic year. This is useful for deleting users, adding new users, and moving existing users into new Groups.
We recommend to begin this at the end of the year, or a couple of weeks prior to the new academic year.
To start the roll-over process, follow the steps below:
- Start by heading to the Roll-over page
- Before you begin, you will be told of all the changes this process will do. Make sure to read through it carefully
- Make sure that you agree to the terms as this process cannot be undone once completed. When you're ready, click on
- Downloading your School’s current data. This will include all the users and groups that are on Springring
- Open your downloaded file
Amending Your Document
In this file, you can delete old Users and add new Users. You will also be able to create new groups and re-assign Users to different existing groups. Make sure you DO NOT change your current users’ email address. This can result in duplicating your current contacts.
In your School’s data file, you will find four sheets in the bottom left corner.
Within each of the four sheets will be the details of your current users. This information will include their first and last names, email addresses, as well the groups they currently belong to.
Your Admin Staff will be listed under Staff-Admin like this:
Your Teacher Staff will be listed under Teachers like this:
Your Students and Parents will be listed under Students like this:
To add new Users to your School, type in their contact information in the same manner as your current Users. To remove an existing User, delete his/her name and contact information from your file.
Ensure that your Groups are written exactly the same in each sheet, as to not create duplicate Groups.
Uploading Your Document
After finishing all your changes, save your file. Click on . To upload your document, you can either:
- Drag your document into the dashed box
- Or click to find the document and upload your file
Wait for everything to be processed and until you see the success message.
Click on . Don’t worry if you’ve made a mistake, you will get a second chance to view your changes. Once you have reviewed your changes, click on .
You have now reviewed and updated all your school’s Users, Groups, and Boards for the new academic year. Note that the roll-over process cannot be undone once complete. Make sure to review your changes before beginning the Roll-Over process.
Click on when you are ready to begin the roll-process. Once completed, you will receive an email to let you know when your new academic year is set-up!

Encountering an Error
While making changes to your School data, you might encounter an error. You will be notified of this if you upload your file and receive an Error! Message
To fix this, click on . The points of error will be highlighted in red as you review your changes.
And any previously uploaded file will appear under “Archive History”.
